The BIO (ByInviteOnly) Email Marketing Manager can be used as a free standing application to compose, send and track HTML newsletters to an opt-in subscriber list. Designed to work in co-ordination with the CSP, BIO integrates user records and subscription data. The new BIO will be a complete re-write of our existing technology.
The layout of BIO will mimic the rest of the CSP. These are the details of the functions; it is up to the development / design team to determine how they look / feel / act
Managing Lists & Users
Creating A List
A list is a defined mailing list. Each list needs the following information to be launched:
- List Name
- Insert Properties of list owner
- Site description (When presented on the front end, what is this list called)
Additionally, each list has a series of properties that can be unique to each list:
- Public / Private (Can anyone who visits the site join this list, or is it hidden from the front end email.tpl default display)
- Text / HTML (Is this list exclusively Text only, or is it also produced as an HTML newsletter)
- Monitor Activity (Subscribes / Bounce Notices / Send 2 Friends are cc'd to site admin or only included in the reporting area)
- Default Salutation

- Greeting ("Hello" or "Dear") if this is left blank, the fields below are ignored when the eh4. mail is produced

- Field Name (From the User Record, most likely First Name)

- Blank Salutation (If no name exists in the field name, use this greeting, for example: "Subscriber" or "Friend")
- Send To Friend Format (Does it display a box at the bottom of the email, or a link to a web page where multiple friends name and addresses can be entered)
- Redirection Links - These are where the subscriber goes once a behavior has occurred. We will need default pages with this information, but there should be customized versions as well. Perhaps these pages can be auto generated and auto populated on a new site set up. (These need to be inside or outside links. It would be great if you could drag the site location from the navigation pane, or select from a drop down. But you must be able to enter an external link in case they are using BIO for a non CSP site)

- Send To Friend (Where the S2F sign-up page is located)

- Sign-up redirect (When someone initially adds their name to a list, they are sent to this page. This will have the instructions for the double opt-in email)

- Success Page (After the double opt-in is completed, they go to this page)

- Unsubscribe Page (Where they go when they "opt-out". Ideally, an exit survey would be nice here)
- Banner Image - This is a banner image that would appear on our default pages if no customized versions appear
Opt-In Rules
In order to meet all compliance regulations for http://www.truste.org/requirements.php#req5 Trusted Sender status, BIO emails must meet the following opt-in rules:
- All Opt-in information must be stored with the user data, available for user review and included with each email either as a text section or a link to their opt-in information that does not require a login / password to be viewed
- All online subscriptions must be double opt-in unless part of a larger registration process (for example, when making a purchase or registering for a class, etc
- Online subscriptions must include a date/time stamp and IP address
- Offline sign-ups must include the following data:
- Date of sign up
- Location / Event where sign up occurred (In store, Widget Makers Trade Show, Olmstead County Fair, Offline Request)
- Name of person who added the name (if personal request)
Non personal or delivery related data must be visible to the recipient either in the email itself or through a link included with each email.
Subscribing to a list
There should be at least two online methods for subscribing to a list. Each has unique features that differentiate the type and the double opt-in requirements.

Generally, a user will be presented with a newsletter sign-up box as part of the wireframe of an application. This registration is generally a box that requires only the email address and offers the user with the ability to add themselves to one or more lists. This sign up must be double opt-in.
Frequently there are a variety of reasons that a single sign up “box” may be insufficient for a site owner. There may be additional, voluntary information the site owner wants to attempt to collect. There may be too many email lists than can be easily included in the space for a sign up box. With this in mind, the front end functionality should include a “continuing” form, where the user adds his email address to a box, and when hitting the submit button, he is brought to a “success page” where the email lists are presented, or additional information can be obtained (either voluntarily or required) according to the site owners wishes.

Emailer Work Priority
we will upload the website in smart emailer . we will have the login box at the website ..
we will have some menus and finish the contents , reg the menu we will do one discussion later as the seprate blog topic ,
in admin side , the current funuctionality is more than enough to go public.
Correct the errors in the applications , i.e deletion of contacts and other errors mentioned in the blog
we need to the provision to create he sub users from admin with the no of resume limitations
for the subusers we need to have the template creation options
during the creation of the logins we need to restrict the no of templates they can create per login
Unsuscribe provision need to given to all themails send out from the application
report spam option also need to give at the bottom of all the mails ,
for example if i am the subuser , and i sends the mail to you , you will get the meil with the last 2 lines to unsuscribe and report spam , if you report that mail as spam , it will automatically delete from my contacts also generate the repost to me ..
if you click unsuscribe , then i should get the mail to my mail id to unsuscribe .. also in my login there is a place to see the unsuscribe mail ids , there i can have the provision to unsuscribe the email contacts ..
